Event check-in QR codes: flow, trust, and last-minute changes

Design attendee-facing links for queues, Wi‑Fi quirks, and the inevitable venue or form URL swap.

Badges, posters, and email reminders often share the same check-in URL. When registration moves from one form tool to another, or the wifi landing page changes, static QR art becomes a liability. A single managed short link behind every touchpoint absorbs those changes.

Design the journey

Land on a mobile-first page with one primary action: check in, view schedule, or join Wi‑Fi instructions. Secondary links belong below the fold. If you need offline fallback, print a short human-readable path next to the code.

Trust signals

Use your brand domain in the short URL when possible. Pair the QR with context—e.g. “Scan to check in for Acme Summit 2026”—so people know what they are authorizing. After last year’s QR scams, clarity beats cleverness.

Rehearsal day edits

Keep the redirect editable until doors open. If the city changes the health form or the sponsor adds a gate, update the target without reprinting hundreds of assets.
